Nominations for the following positions will be made at Area Conventions this fall, with elections taking place at the Annual General Meeting on Thursday, November 30, 2017 in Kingston, Ontario.

PRESIDENT-ELECT (Nomination Form; Application Form)

Term Length: 2 years

 

Role

  • To become familiar with the organization and the role of the President;
  • refer to the Provincial Board.

Responsibilities

  • refer to the Provincial Board
  • preside in the absence of, or at the request of, the President
  • take over the President's duties if an emergency prevents her from continuing in office or if requested
  • a voting member of the Provincial Board
  • a voting member of the Finance Committee
  • a voting member on the Personnel Committee
  • chair the Erland Lee Museum Committee
  • alternate National Board Director to FWIC
  • perform other duties as may be required

Selection

  • be a member in good standing
  • a nominee shall have held an executive position at District or Area, or have served in any official capacity at the Provincial level
  • by nomination and application from the Area
  • elected annually at the FWIO Annual Meeting to a maximum of two (2) years

Other

  • computer and internet access is an asset, and will be required when President

REGIONAL BOARD DIRECTOR (Nomination Form; Application Form)

Term: 3 years

 

3 positions open:

Eastern Region (Eastern Area)

Northern Region (Northern, North Central & Cochrane-Temiskaming Areas)

Southern Region (Hamilton Area)

 

Role

  • Be a liaise between Provincial Board, Area Voting Delegates and Members in their region;
  • refer to Provincial Board

Responsibilities

  • refer to Provincial Board
  • communicate with Area Voting Delegates, Officers & Coordinators
  • send thank you’s to Branches for special events, anniversaries, etc. as they happen
  • judge FWIO Scholarships

Selection

  • be a member in good standing for a minimum of 3 years, and has served on one or more community/municipality/not-for-profit board, for more than one year.  At least one reference should come from a Board member of these organizations.  At least one reference should also come from an FWIO member serving in an executive capacity
  • or a nominee shall have held an executive position at District or Area level, or have served in any official capacity at Provincial level
  • regional representation (2 from each region)
  • by nomination and application from the Area Conventions
  • elected annually at the FWIO Annual Meeting, to a maximum of three (3) years
  • after six (6) years off Provincial Board may be re-nominated

Other

  • there is no proxy vote
  • an absent Regional Board Director means no vote at the table, legally is still responsible for all decisions made

ADVOCACY COORDINATOR (Nomination Form; Application Form)

Term Length: 3 years

 

Role

  • Coordinate and lobby the issues approved by the Provincial Board.

Responsibilities

  • refer to All Coordinators on pg. 25 #6 in the blue Member Handbook
  • be informed about current legislation and issues
  • with committee research, edit and consider resolutions submitted
  • work with FWIO partners and Coordinators to develop and or strengthen resolutions and briefs
  • brief/update Regional Board Directors responsible for the Area from which the resolution(s) originated
  • present, sign and submit resolutions for consideration by the Provincial Board
  • write an accompanying letter or brief and arrange a delegation as directed by the Provincial Board to the persons, departments, ministries or organizations concerned for their consideration and action
  • ensure that the signature of the Provincial President is on the resolution
  • follow up and report on resolutions sustained and not sustained with explanations to originator
  • provide a report to the Provincial Board upon receiving responses to resolutions
  • provide copies of each resolution sustained and the end result to the Provincial Office
  • Follow the recommendations of the FWIO Provincial Board regarding sustained resolutions.

Digitizing Coordinator (Nomination Form; Application Form)

Term Length: 3 years

 

Role

  • Encourage the digitization of Tweedsmuir Histories.
  • Work with the Erland Lee Museum Curator on the digitization of Tweedsmuir Community Histories.

EXECUTIVE OFFICER TO FWIC (Nomination Form; Application Form)

Term Length: 3 years, beginning June 2018

 

Role

  • Be the liaise between FWIO and FWIC.

Responsibilities

  • refer to pg. 80 #11 in the blue Member Handbook
  • attend FWIO Annual Meeting to report FWIC activities
  • prepare and submit a budget annually to the Office Administrator
  • review Provincial Board Highlights
  • be responsible for FWIC-Tweedsmuir Competitions, Past Presidents' Essay Competition, Senator Cairine Wilson Competition and Twinning Programs
  • submit a time line for all competitions to the Branches at the beginning of each FWIC triennium or as soon as possible to the start
  • ensure that all release forms are signed for the competition entry, arranging judging and safe return of entries
  • be responsible for letter friends program within Canada
  • promote FWIC programs and projects
  • maintain a file of reports and information to be transferred to successor within 30 days
  • send a written report to Provincial Office immediately (within 10 days) after each FWIC meeting
  • attend two FWIC meetings per year
  • submit an expense report as per policy and budget
  • prepare an Annual Report and submit to the Provincial Office by October 1
  • respond to requests for program resources
  • attend training or instruction for position
  • forward copy of all correspondence to Provincial Office
  • forward sustained Resolutions to the Provincial Board
  • support decisions/recommendations of Provincial Board
  • meet objectives of Strategic Plan
  • adhere to Provincial Policies

Selection

  • be a member in good standing
  • normally a Past President who has not served as an Office Administrator
  • by application
  • elected annually at the FWIO Annual Meeting to begin her term of three (3) years as set by FWIC

GRANTS & FUNDRAISING COORDINATOR (Nomination Form; Application Form)

Term Length: 3 years

 

Role

  • Be aware of the needs of the Erland Lee Museum Home and the Federated Women’s Institutes of Ontario
  • Take the lead on writing grants and work with the Provincial Bookkeeper, Administrator of FWIO and/or the Museum Curator
  • Report to the Provincial President and Board for approval of grant application prior to it being submitted
  • Meet the objectives of the Strategic Plan
  • Protect the finances and assets of the organization
  • Protect the image of FWIO

Responsibilities

  • Search for all possible grants
  • Develop fundraising ideas
  • Become aware of the criteria required for the grant application(s)
  • Become aware of partner possibilities
  • Manage honestly, in good faith, with care and diligence and in the best interest of the organization.
  • Attend and have full voting rights at the Provincial Annual Meeting with expenses paid by FWIO
  • Interact positively with individuals and groups outside the organization
  • Attend webinars and/or recommended training sessions
  • Forward a copy of all relevant correspondence to the Provincial Office
  • Adhere to Provincial Policies
  • Submit allowable expenses to FWIO Office
  • Copies of the grant applications should be kept in a binder for future reference
  • Original copies must be filed at the Provincial Office
  • Ensure that all deadlines are met including the final report(s)

Selection

  • Must have good writing skills
  • Must have computer skills
  • Be a member in good standing
  • Must be nominated at the Area Convention
  • Must be elected annually for a term lasting no longer than 3 years
  • If no nominee is elected, the position may be filled by appointment of the Provincial Board

INTERNATIONAL OFFICER (Nomination Form; Application Form)

 

Role

  • Be the liaise between FWIO, ACWW and International Exchanges.

Responsibilities

  • promote an understanding of traditions, customs and problems of other nations, particularly those countries who are members of ACWW
  • coordinate exchange visits and letter friends programs
  • send a written report to the Provincial Office 30 days prior to each on-site Board Meeting
  • forward a copy of all correspondence to Provincial Office
  • promote ACWW projects and programs
  • maintain a file of reports and information to be transferred to successor at the AGM
  • prepare and submit a budget annually to the Administrator of FWIO
  • submit expenses as per policy and budget
  • prepare a report for Countrywoman as requested by ACWW
  • prepare an Annual Report and send to the Provincial Office by October 1
  • prepare an Annual Report and send to FWIC by April 1
  • respond to request for program resources
  • submit information to provincial newsletter and Branch mailings as required/requested
  • review Provincial Board Highlights
  • attend training or instruction for position
  • complete ACWW survey requests as required
  • prepare a triennial report to ACWW.  The deadline needs to be checked.
  • support decisions/recommendations of Provincial Board
  • meet objectives of Strategic Plan
  • adhere to Provincial Policies

Selection

  • be a member in good standing
  • nominees shall have held an executive position at District or Area or have served in any official capacity at the provincial level
  • by nomination and application from Area Convention; elected annually at the FWIO Annual Meetings, to a maximim of three (3) years
  • may be re-nominated after six (6) years

MEMBERSHIP COORDINATOR (Nomination Form; Application Form)

Term Length: 3 years

 

Role

  • Assist Branches, enthuse current members, recruit new members and help organize new Branches.

Responsibilities

  • refer to All Coordinators on page 26 #7 in the blue Member Handbook
  • provide membership workshops as requested
  • meet with Provincial Board at least once a year on request by either side
  • may select and work with a committee

TWEEDSMUIR COORDINATOR (Nomination Form; Application Form)

Term Length: 3 years

 

Role

  • Record and maintain the Provincial FWIO history
  • Collaborate with Digitizing Chair

Responsibilities

  • refer to All Coordinators on pg. 26 #10 in the blue Member Handbook
  • compile the Provincial Tweedsmuir History
  • Supervise and edit all data received for the Tweedsmuir History
  • have custody of the Tweedsmuir Collection during their term of office
  • prepare a progress report and exhibit the Provincial Tweedsmuir Collection at the Annual Meeting and other Provincial events, as requested
  • develop a list annually of Tweedsmuir Coordinators and send a copy to the Provincial Office
  • develop and maintain a list of Tweedsmuir locations of disbanded groups and send a copy to the Provincial Office
  • return to the custody of the Provincial Board and Successor, the Tweedsmuir Community History Collection and Manual, with all data and relevant material, when retiring from office refer to All Coordinators
